2. How We Use Your Information

Service Delivery

To provide attendance tracking, time management, and payroll calculation services to you and your organization.

Communication

To send you notifications about your attendance, lateness alerts, leave approvals, and important system updates via SMS and email.

Compliance & Reporting

To generate attendance reports, audit logs, and deduction calculations for your employer as required for payroll and regulatory compliance.

Service Improvement

To analyze usage patterns and improve our services, fix bugs, and develop new features.

3. Location Data

Geofencing

Our mobile application uses GPS location data to verify that employees are within the designated work location (geofence) when clocking in or out. This helps prevent time fraud and ensures accurate attendance records.

Location Storage

Location coordinates are stored with each mobile attendance record. This data is only accessible to authorized administrators within your organization.

Consent

Location access is requested only when you attempt to clock in or out via the mobile app. You can deny location access, but this may require manual approval of your attendance by an administrator.

4. Data Sharing & Disclosure

Employer Access

Your attendance data, including clock times, location, and deduction calculations, is shared with authorized personnel within your organization (HR administrators, managers, and supervisors as designated).

Third-Party Services

We use trusted third-party services for SMS delivery and email communications. These providers only receive the minimum information necessary to deliver messages.

Legal Requirements

We may disclose your information if required by law, court order, or government regulation, or to protect the rights, property, or safety of Vochus, our users, or others.

No Sale of Data

We do not sell, rent, or trade your personal information to third parties for marketing or any other purposes.

5. Data Security

Encryption

All data transmitted between your device and our servers is encrypted using industry-standard TLS/SSL protocols. Data at rest is encrypted in our secure databases.

Access Controls

We implement strict access controls ensuring only authorized personnel can access your data. All access is logged and monitored for security purposes.

Authentication

Our system uses secure JWT-based authentication with password hashing. We recommend using strong, unique passwords and enabling two-factor authentication when available.

6. Data Retention

Attendance records are retained for a minimum of 2 years to comply with labor law requirements. Your organization may configure longer retention periods based on their compliance needs.

Account Termination

Upon termination of your organization's subscription, data is retained for 30 days to allow for data export, after which it is permanently deleted from our systems.

7. Your Rights

Access & Portability

You have the right to request access to your personal data and receive a copy in a commonly used electronic format.

Correction

You can request correction of inaccurate personal information through your organization's HR administrator or by contacting us directly.

Deletion

Subject to legal retention requirements and your employer's policies, you may request deletion of your personal data. Request account deletion

Objection

You have the right to object to certain processing of your data. Please contact your organization's administrator or our support team.

Age Requirement
